FieldSquire uses information you provide to create accounts, build and share estimates, sync team workspaces, store job photos, process AI requests, manage subscriptions, provide support, secure the service, and diagnose crashes. We do not sell personal information, run third-party advertising, or use your information for cross-app tracking.
1. Scope and operator
This policy applies to the FieldSquire Construction AI mobile application for iPhone, iPad, and Android, together with its related account, cloud, support, billing, and website services. The service is operated by FieldSquire AI ("FieldSquire," "we," "us," or "our"). A user may be an account owner, contractor, salesperson, foreman, employee, or another authorized team member.
2. Information we collect
Account and business information
- Email address, account identifier, authentication status, recovery requests, subscription plan, and team membership.
- Contractor or team-member name, business name, business email, phone number, business address, profile image or logo, document colors, estimate terms, deposit settings, profit and overage settings, and uploaded or learned price information.
- Passwords are handled by Firebase Authentication. FieldSquire does not receive a readable copy of your password.
Customer, lead, and job information
- Customer or lead names, phone numbers, email addresses, job addresses, notes, reminders, and lead status.
- Project titles, scope descriptions, measurements, materials, estimate line items, direct costs, quantities, prices, deposits, terms, approvals, signatures, and generated documents.
- Job-site photos, profile images, and audio field notes that you choose to capture or select.
Subscription and transaction information
We receive subscription status, plan, renewal or cancellation status, customer and transaction identifiers, and limited billing metadata from Stripe, Apple, or Google, depending on where a purchase is made. Payment providers process payment-card details. FieldSquire does not receive your complete payment-card number.
Technical and diagnostic information
Firebase App Check, Firebase Crashlytics, operating systems, and app-distribution platforms may process app-instance or device identifiers, integrity signals, IP address, device model, operating-system version, app version, crash traces, performance details, and related diagnostics. We use this information for security, fraud prevention, reliability, and troubleshooting—not advertising.
3. How we use information
We use information to:
- Create, authenticate, recover, secure, and maintain accounts.
- Build, edit, save, export, print, email, or send estimates and PDF documents as directed by the user.
- Store job photos and synchronize profiles, estimates, leads, learned prices, reminders, and other authorized workspace information between team members and devices.
- Provide AI-assisted transcription, scope organization, photo review, and preliminary pricing suggestions.
- Process subscription entitlements, trials, renewals, cancellations, and customer-service requests.
- Send account, welcome, team-join, security, service, and support communications.
- Prevent misuse, protect the service, diagnose failures, and improve app reliability and usability.
- Comply with legal obligations and enforce our terms.
4. AI processing
FieldSquire uses Firebase AI Logic and Google Gemini to provide AI-assisted features. When you request an AI feature, FieldSquire may send the relevant job address, project type, scope notes, selected company pricing context, learned company prices, and up to the selected job photos needed for that request. When you request transcription, the recorded audio is sent for transcription and cleanup.
AI results are preliminary, editable drafts and may be incomplete or inaccurate. Contractors remain responsible for confirming measurements, quantities, labor, materials, codes, taxes, margins, prices, terms, and customer-facing documents before relying on or sending them. FieldSquire does not use customer or job content for advertising.
5. Team workspaces and people you add
When an account owner creates or joins a team workspace, authorized team members may access shared business-profile information, leads, reminders, estimates, job photos, learned company prices, and other workspace content. A team member's name may appear as the person who prepared an estimate. Account owners are responsible for inviting only authorized people and removing access when it is no longer appropriate.
Contractors are also responsible for having a lawful business reason to enter customer, prospect, employee, or subcontractor information into FieldSquire and for sending estimates or messages only to appropriate recipients.
6. Android Lead Catcher
If voluntarily enabled on a supported Android phone, Lead Catcher uses Android Call Screening to receive the phone number for an incoming call that Android routes to the service. The number is stored on that device long enough to offer an after-call review. You can classify it as a lead, personal call, or spam. Numbers classified as personal or spam are kept in a local ignore list so the app does not keep offering them.
FieldSquire does not record call audio, answer or block calls, or request access to your general call history or contacts. If you save the caller as a lead, that lead record may be synchronized with your authorized team workspace. The foreground-service notification and optional display-over-other-apps bubble only provide the visible after-call action.
7. Device permissions
- Camera and photo library: capture or select job-site photos and a profile image.
- Microphone: record a field note when you choose to dictate estimate details.
- Notifications: provide reminders, service information, or enabled lead-related actions.
- Android Call Screening, foreground service, and display over other apps: support the optional Lead Catcher workflow described above.
- Internet access: authenticate accounts, synchronize workspaces, upload files, process AI requests, refresh subscriptions, and send requested information.
You can deny or revoke optional permissions in device settings. The related feature may stop working, but unrelated features can continue where technically possible.
8. When information is disclosed
We disclose information only as needed to operate the service, follow your instructions, protect users, or comply with law. Relevant recipients can include:
- Google Firebase and Google Cloud: authentication, database synchronization, file storage, App Check, Gemini AI access, and crash diagnostics.
- Stripe, Apple, and Google: subscription billing, transaction processing, entitlement support, app distribution, and platform features.
- Website, hosting, and email providers: account notices, welcome emails, support communications, and website delivery.
- Your authorized team members and recipients: workspace collaboration and estimates, PDFs, emails, or messages that you choose to share.
- Legal or safety recipients: when reasonably necessary to comply with law, protect rights or safety, investigate fraud, or respond to a valid legal request.
We do not sell personal information, share it for cross-context behavioral advertising, or permit third-party advertising networks to track users through the app.
9. Storage, security, and retention
Some information is stored on the user's device, and synchronized account or team information is stored using Firebase services. We use account authentication, encrypted network connections, Firebase security rules, App Check, restricted service credentials, and platform security controls. No method of storage or transmission can guarantee absolute security.
We retain information while it is needed to provide the service, maintain the account or workspace, meet legal and accounting requirements, prevent fraud, resolve disputes, enforce agreements, and maintain reasonable business records. Local information may remain on a device until it is deleted in the app, cleared by the operating system, or the app is removed. Backup and diagnostic copies may remain for a limited period before deletion or de-identification.
10. Your choices and deletion requests
You can edit many profile, customer, lead, and estimate records in the app; delete estimates; revoke permissions; sign out; manage billing through the applicable billing provider; or stop using the service.
To request access, correction, export, or deletion of account information, email [email protected] from the account's email address. Include "FieldSquire data request" in the subject. We may verify your identity and authority over a team workspace before completing a request. Limited records may be retained when required for billing, security, fraud prevention, dispute resolution, or law.
11. International processing
FieldSquire and its service providers may process information in the United States and other countries where they operate. Those locations may have privacy laws different from the user's location. Where required, providers use legal safeguards for international transfers.
12. Children
FieldSquire is a business application intended for contractors and authorized team members. It is not directed to children under 13, and we do not knowingly collect personal information directly from children.
13. Changes to this policy
We may update this policy when the app, service providers, or legal requirements change. We will post the revised effective date on this page and provide additional notice when required.
