FieldSquire uses information you provide to create accounts, build and share estimates, sync team workspaces, store job photos, process AI requests, manage subscriptions, provide support, secure the service, and diagnose crashes. The mobile app does not use third-party advertising trackers. On fieldsquire.com, optional Google and Meta advertising measurement runs only after a visitor accepts advertising cookies and can be disabled through Your Privacy Choices.
1. Scope and operator
This policy applies to the FieldSquire Construction AI mobile application for iPhone and Android, together with its related account, cloud, support, billing, and website services. The service is operated by FieldSquire AI ("FieldSquire," "we," "us," or "our"). A user may be an account owner, contractor, salesperson, foreman, employee, or another authorized team member.
2. Information we collect
Account and business information
- Email address, account identifier, authentication status, recovery requests, subscription plan, and team membership.
- Contractor or team-member name, business name, business email, phone number, business address, profile image or logo, document colors, estimate terms, deposit settings, profit and overage settings, and uploaded or learned price information.
- Passwords are handled by Firebase Authentication. FieldSquire does not receive a readable copy of your password.
Customer, lead, and job information
- Customer or lead names, phone numbers, email addresses, job addresses, notes, reminders, and lead status.
- Project titles, scope descriptions, measurements, materials, estimate line items, direct costs, quantities, prices, deposits, terms, approvals, signatures, and generated documents.
- Job-site photos, profile images, and audio field notes that you choose to capture or select.
Subscription and transaction information
We receive subscription status, plan, renewal or cancellation status, customer and transaction identifiers, and limited billing metadata from Apple, Google Play, or Stripe, depending on the payment channel you choose. Those providers process payment credentials for their respective channels. FieldSquire does not receive your complete payment-card number or Apple or Google account payment credentials.
App analytics, technical, and diagnostic information
Optional Analytics and Crashlytics: Firebase Analytics and Firebase Crashlytics collection are off by default. Before enabling them, FieldSquire asks whether you want to share product-interaction events, app/device version details, and crash diagnostics with Google Firebase (Google LLC) to improve reliability. The choices are Not Now and Allow; declining does not block any FieldSquire feature. If allowed, Analytics may receive an app-instance identifier, app version, device and operating-system information, approximate region derived from the IP address, and events such as app open, signup or login, trial activation, profile completion, and quote creation. Crashlytics may receive installation identifiers, device/app details, crash traces, runtime state, and related diagnostics. FieldSquire intentionally leaves the Firebase account user-ID fields empty for both services, and does not send quote text, customer details, photos, recordings, PDFs, signatures, or payment-card information to these services for analytics or crash reporting.
You can withdraw this optional permission at any time under Settings → Privacy & AI → Help Improve FieldSquire. Once the change is saved, FieldSquire stops new app-usage events and app-recorded error reports, resets this installation's Analytics identifier, and clears any account identifier. The app also requests deletion of unsent Crashlytics reports. On iPhone, restart FieldSquire to finish applying the native Crashlytics setting and clearing reports kept on the device; reports already sent cannot be recalled. Every app feature remains available. Previously received user-level and event-level Analytics records remain only for the Google Analytics standard-property retention window, which is no longer than 14 months, before automatic deletion; aggregated, de-identified reporting may remain. Firebase Crashlytics retains crash traces and associated installation identifiers for 90 days before beginning removal from live and backup systems.
Essential security: Firebase App Check may process an app-installation identifier, device/app integrity signals, IP address, device model, operating-system version, and app version to verify legitimate requests, prevent abuse, and protect customer data. App Check is not used for advertising and is separate from the optional Analytics and Crashlytics choice.
Website usage information
When you visit fieldsquire.com, our first-party website analytics may record your IP address, browser and device information, referring page, pages viewed, active time, scroll depth, and interactions with website buttons or links. We use this information to understand whether the website works, diagnose failed signup or checkout steps, prevent abuse, and improve the customer experience.
Optional website advertising and retargeting
If you select Accept advertising, fieldsquire.com may load the Google tag and Meta Pixel. Those tools can receive page URLs, referring pages, browser and device information, IP address, advertising-cookie identifiers, ad click identifiers such as GCLID or FBCLID, and events such as viewing a trade page, showing meaningful engagement, selecting a plan, creating an account, beginning checkout, completing a trial, clicking the app-store link, or contacting us. We use those events to measure advertising, exclude existing customers where appropriate, create website-visitor audiences, and show FieldSquire advertising to people who previously expressed interest.
We do not send estimate content, customer records, passwords, payment-card information, job photos, voice notes, or customer signatures to Google or Meta for advertising. Advertising scripts do not load until consent is granted. You can decline or withdraw consent at any time using Your privacy choices at the bottom of the website. We also treat an enabled Global Privacy Control signal as a request to disable advertising tracking.
3. How we use information
We use information to:
- Create, authenticate, recover, secure, and maintain accounts.
- Build, edit, save, export, print, email, or send estimates and PDF documents as directed by the user.
- Store job photos and synchronize profiles, estimates, leads, learned prices, reminders, and other authorized workspace information between team members and devices.
- Provide user-requested AI transcription, scope organization, and preliminary pricing suggestions after the user permits AI data sharing.
- Process subscription entitlements, trials, renewals, cancellations, and customer-service requests.
- Send account, welcome, team-join, security, service, and support communications.
- Prevent misuse, protect the service, diagnose failures, and improve app reliability and usability.
- With website advertising consent, measure campaigns and create audiences of interested website visitors for FieldSquire advertising.
- Comply with legal obligations and enforce our terms.
4. AI processing, permission, and withdrawal
FieldSquire routes user-requested AI features through the FieldSquire backend to Google Gemini, a third-party AI service provided by Google LLC. For an AI-assisted estimate or scope request, FieldSquire may send the project type, job or scope notes, job address, business address, selected company price-list information, and matching prices learned from the contractor's prior corrections. For transcription, FieldSquire sends the raw voice recording and related project context needed to turn the recording into job notes. The purpose of this processing is to transcribe the user's recording and create an editable estimate draft.
FieldSquire does not intentionally add a contractor's or customer's name, email address, or phone number to an AI request. Those details can still be sent if a user includes them in spoken audio, typed job notes, scope details, project text, or another field submitted for AI processing. Users should avoid including personal information that is not needed for the requested draft.
Job-site photos are stored with the quote as contractor reference material. The current FieldSquire backend does not forward job photos to Google Gemini and does not use those photos to generate an estimate.
Before FieldSquire sends personal data to Google Gemini for the first time, the mobile app identifies Google Gemini, explains the categories of data and purpose, and asks the user to choose Allow AI processing or Not now. Declining does not block manual quoting. A user can review or withdraw permission at any time under Settings → Privacy & AI → AI Data Sharing. Withdrawal prevents new AI requests from being sent; manual estimates and unrelated features remain available. A user may later grant permission again from the same setting.
Learned prices are account-scoped. Solo price corrections are stored under that signed-in contractor’s Firebase user. Crew price corrections are stored only in that contractor’s workspace and are available only to authorized members of the same company. FieldSquire does not provide one contractor’s learned prices to another contractor.
AI results are preliminary, editable drafts and may be incomplete or inaccurate. Contractors remain responsible for confirming measurements, quantities, labor, materials, codes, taxes, margins, prices, terms, and customer-facing documents before relying on or sending them. FieldSquire does not use customer or job content for advertising.
5. Team workspaces and people you add
When an account owner creates or joins a team workspace, authorized team members may access shared business-profile information, leads, reminders, estimates, job photos, learned company prices, and other workspace content. A team member's name may appear as the person who prepared an estimate. Account owners are responsible for inviting only authorized people and removing access when it is no longer appropriate.
Contractors are also responsible for having a lawful business reason to enter customer, prospect, employee, or subcontractor information into FieldSquire and for sending estimates or messages only to appropriate recipients.
6. Android Lead Catcher
If voluntarily enabled on a supported Android phone, Lead Catcher uses Android Call Screening to receive the phone number for an incoming call that Android routes to the service. The number is stored on that device long enough to offer an after-call review. You can classify it as a lead, personal call, or spam. Numbers classified as personal or spam are kept in a local ignore list so the app does not keep offering them.
FieldSquire does not record call audio, answer or block calls, or request access to your general call history or contacts. If you save the caller as a lead, that lead record may be synchronized with your authorized team workspace. The foreground-service notification and optional display-over-other-apps bubble only provide the visible after-call action.
7. Device permissions
- Camera and system photo picker: capture a new image or choose only the job-site photos and profile image you select. FieldSquire does not request broad access to browse your photo library.
- Microphone: record a field note when you choose to dictate estimate details. With AI data-sharing permission, raw audio is sent through the FieldSquire backend to Google Gemini for the transcription you request.
- Notifications: provide reminders, service information, or enabled lead-related actions.
- Android Call Screening, foreground service, and display over other apps: support the optional Lead Catcher workflow described above.
- Internet access: authenticate accounts, synchronize workspaces, upload files, process AI requests, refresh subscriptions, and send requested information.
You can deny or revoke optional permissions in device settings. The related feature may stop working, but unrelated features can continue where technically possible.
8. When information is disclosed
We disclose information only as needed to operate the service, follow your instructions, protect users, or comply with law. Relevant recipients can include:
- Google Firebase and Google Cloud: authentication, database synchronization, file storage, App Check, Firebase Analytics, Firebase Crashlytics, backend processing, and Google Gemini AI access.
- Stripe: website subscription billing, transaction processing, and entitlement support.
- Apple: App Store distribution, in-app subscription billing, transaction verification, renewal and cancellation status, and platform features.
- Google: Google Play distribution, in-app subscription billing, transaction verification, renewal and cancellation status, and platform features.
- Website, hosting, and email providers: account notices, welcome emails, support communications, and website delivery.
- Google and Meta: optional website advertising measurement, campaign attribution, and retargeting only after the website visitor accepts advertising tracking.
- Your authorized team members and recipients: workspace collaboration and estimates, PDFs, emails, or messages that you choose to share.
- Legal or safety recipients: when reasonably necessary to comply with law, protect rights or safety, investigate fraud, or respond to a valid legal request.
FieldSquire selects providers that maintain privacy and security safeguards appropriate for the information they process. Our contracts, data-processing terms, and service configurations require providers that receive personal information from FieldSquire—including providers used for AI processing—to use it only for authorized service purposes and to provide the same or an equal level of protection as described in this policy. We review provider terms and controls and restrict or discontinue a provider when we cannot maintain those protections.
We do not permit third-party advertising networks to track users through the mobile app. Optional website retargeting may be considered "sharing" or targeted advertising under some privacy laws, so fieldsquire.com provides an advertising-consent choice, an ongoing opt-out control, and support for Global Privacy Control.
9. Storage, security, and retention
Some information is stored on the user's device, and synchronized account or team information is stored using Firebase services. We use account authentication, encrypted network connections, Firebase security rules, App Check, restricted service credentials, and platform security controls. No method of storage or transmission can guarantee absolute security.
We retain account, workspace, customer, job, and document information while the account or workspace remains active and the information is needed to provide the service. When an account owner completes in-app account deletion, active account content is deleted from FieldSquire's live account systems. Local information may remain on a device until it is cleared by the app, cleared by the operating system, or the app is removed. Optional Analytics user/event records remain no longer than 14 months, and Crashlytics records remain 90 days before provider removal begins, as described above. Aggregated or de-identified statistics may remain. Limited billing, tax, fraud-prevention, dispute, security, and legal records are kept only for the period reasonably required for those purposes. Administrative action timestamps may remain for security accountability after the deleted account's UID, email, and subject details have been removed. If Stripe is temporarily unavailable during deletion, FieldSquire retains only the opaque Stripe subscription or customer identifier needed to stop billing or remove the reusable Stripe customer profile; no readable FieldSquire email, Firebase UID, name, or account content is placed in that retry record. The identifier remains only until the cleanup succeeds, and the resolved retry record is removed within 30 days.
10. Your choices and deletion requests
You can edit many profile, customer, lead, and estimate records in the app; delete estimates; revoke device permissions; review or withdraw optional Analytics/Crashlytics permission under Settings → Privacy & AI → Help Improve FieldSquire; review or withdraw Google Gemini permission under Settings → Privacy & AI → AI Data Sharing; sign out; manage billing through the applicable billing provider; or stop using the service. Withdrawing AI permission stops future AI transmissions but does not by itself delete earlier account content or completed provider processing; use the deletion controls described below for account data.
You can permanently delete your FieldSquire account inside the app under Settings → Profile → Account & Subscription → Delete Account & Data. The app confirms your password and explains whether a company workspace will also be removed before completing deletion. Deleting a FieldSquire account does not cancel an Apple App Store or Google Play subscription; cancel store billing through that store to stop future charges. You may also email [email protected] for access, correction, or export requests. Limited transaction and security records may be retained only when needed for billing, charge prevention, fraud prevention, dispute resolution, accounting, or law. To enforce the one-time free-trial limit after deletion, we retain non-readable keyed digests of the email and account identifier for no more than 24 months; we do not retain the readable email or account identifier in that trial record. If a Crew member deletes their personal account, the contractor's shared company records remain, but FieldSquire removes that member's account identifier from the retained workspace records.
11. International processing
FieldSquire and its service providers may process information in the United States and other countries where they operate. Those locations may have privacy laws different from the user's location. Where required, providers use legal safeguards for international transfers.
12. Children
FieldSquire is a business application intended for contractors and authorized team members. It is not directed to children under 13, and we do not knowingly collect personal information directly from children.
13. Changes to this policy
We may update this policy when the app, service providers, or legal requirements change. We will post the revised effective date on this page and provide additional notice when required.
